Integrations — ServiceTitan
Who builds custom integrations for ServiceTitan?
Pixelum builds custom integrations for ServiceTitan. We connect it to QuickBooks, payroll and CRM for HVAC, plumbing and electrical operators, so a job is entered once and the numbers agree.
We check first whether ServiceTitan's native features already cover the need. Often they do, and the fix is configuration rather than code.
What goes wrong between ServiceTitan and everything else
ServiceTitan runs the field well. The trouble shows up where it hands work to accounting, payroll and sales.
- Double entry. An invoice is closed in ServiceTitan and typed again, or corrected again, in QuickBooks.
- Payroll rebuilt by hand. Hours, commissions and spiffs are copied into a spreadsheet every pay period before payroll can run.
- Two revenue numbers. ServiceTitan says one thing for the month and QuickBooks says another.
- A CRM that goes stale. Sales follow-up works from customer and job history that is weeks old.
None of this means the software is wrong, or that the office is careless. Nobody ever decided which system owns which fact.
What we connect
- ServiceTitan to QuickBooks. Invoices, payments and price book items land in the right accounts, once.
- ServiceTitan to payroll. Approved time and job-based pay flow to your payroll provider without a rebuilt spreadsheet.
- ServiceTitan to CRM. Customers, job history and open estimates stay current for whoever does follow-up.
Each connection moves one record in one agreed direction. When two records disagree, a person is told, with the job number attached.
How the work runs
- Name the source of truth for each field. Customer, job, invoice, item, hours, pay rate. One owner each, written down.
- Build the connection. We configure native sync where it fits and build through the API where it does not.
- Run in parallel. The manual process continues beside the new sync until both produce the same numbers for a full cycle.
Only then does the double entry stop. The parallel run is how you know it is safe.
When to use native ServiceTitan features instead
ServiceTitan offers its own QuickBooks integration and its own timesheet and payroll features. If those cover your case, use them. Vendor-maintained sync is cheaper to own than anything custom.
Custom work earns its place when your pay rules, your chart of accounts or your CRM sit outside what the native tools handle. We will tell you which side of that line you are on.
When this isn't worth doing
- The native sync is installed and misconfigured. Fix the mapping first.
- The numbers disagree because invoices are edited after they post. That is a process rule, not an integration.
- You are still deciding whether to stay on ServiceTitan. Decide that first.

Questions owners ask
Who can connect ServiceTitan to accounting and payroll?
Pixelum does. We connect ServiceTitan to QuickBooks and to your payroll provider. We begin by naming which system owns each field, then build, then run both processes in parallel until the numbers match.
Can ServiceTitan connect to QuickBooks without custom work?
Often, yes. ServiceTitan has a native QuickBooks integration. Start there. Custom work is for the cases it does not cover, such as unusual account mapping or pay rules.
Why do ServiceTitan and QuickBooks show different revenue?
Usually timing and edits. An invoice dated in one month posts in another, or a job is changed in one system after it synced. The fix is one system of record and a rule about edits.
Do we have to replace ServiceTitan to fix this?
Almost never. The gap is between systems, not inside ServiceTitan. We connect what you run before anyone suggests replacing it.
How do we start?
With a Profit Map. It shows what the double entry and mismatched numbers cost, using your data, so the integration is scoped against a real figure.
Prove the gap. Then close it.
The Profit Map shows what double entry and rebuilt payroll are costing you. Then you decide what to connect.
